Buying Bulk Laptop Computer Systems – White Paper World

Organizations purchase millions of notebook computers annually. I will identify multiple evaluative criteria that purchasing managers might use when choosing a particular brand. What criteria would be most decisive in the buying? We will take a look.

Notebook computers are used widely across all avenues of business. Salespeople, marketers, and IT technicians typically don’t go on a business related call without their laptop. When evaluating notebook purchases, many factors are examined to determine overall value. If I were a purchasing manager, I would look at:

- Price
- Features
- Durability / Warranty

Price is obviously key. If I am going to purchase 1 or 2 notebooks, $450 vs. $500 isn’t too big a deal, especially if the $500 dollar model is more feature rich. But if I buy 1 million notebooks, a $50 difference per unit equals about $50 Million. That’s a lot of money. Even if the difference in unit price is only $3, $3 Million is still a fairly large swing. When buying at this quantity, finding the best price is one of the most important measures to take.

Features are also very important, as I want a notebook computer that will fit within my industry standards. If a notebook is cheaper, but its offering a Microsoft Windows Vista license rather than a Microsoft Windows 7 license, is it really worth it? It is projected that within a couple of years time, most corporate setting will be running systems with Windows 7. Do I really want to spend millions more upgrading down the line when I can just do it now? What about Microsoft Office vs. another office suite program? Will the laptops come loaded with Office? Or will it be Microsoft Works, Open Office, something else? MS Office is number one in the world when we look at office productivity software. Almost all major companies use Office, and using other pieces of software can cause issues with document readability, compatibility, and even launching. Choosing a notebook with a Microsoft Office license is a must, even if it costs a little more. Buying Microsoft Office by itself will usually end up costing a company more in the long run than buying systems that already have licenses.

Durability is very important. Will the laptop run flawlessly for 5 years, or breakdown after 6 months? Perhaps the more important question is what kind of warranty and support is offered with the product? Knowing how quickly a laptop can be repaired and sent back to the end user is very important. Also knowing what the associated costs are, if any, is very pivotal. If a system has a 2 year warrant, but it costs $100 every time you have to send it in for repair, you might be better off going with a 1 year warranty and free servicing; when we are talking about millions of computer systems, every dollar spent counts. Finding a system with a long term warranty, customer support, and no cost repairs is a must.
